Legal Administrator (Remote: SF Bay Area or NYC Metro)

Our client, a leading global consumer brand, is hiring a Legal Administrator who will provide comprehensive administrative and contract support for the Americas, with a primary focus on leases, commercial agreements, and contract workflows. This is a dynamic role that will be working with an impressive and collaborative team and offers great opportunity for growth.
** Candidates must have experience with commercial/retail lease contracts
Location: Remote, but candidates must be able to reliably commute into either their San Francisco office or Manhattan office as needed.
Travel: Up to approx. 10% domestically
Compensation: $70-90k base + discretionary bonus & highly competitive benefits package!
Responsibilities
Contract Administration
• Support the full lifecycle of contract documentation, including new leases, amendments, renewals, estoppels, and related correspondence
• Track and maintain key lease dates, obligations, and deliverables, ensuring timely follow-up
• Maintain well-organized, accurate records; ensure lease files are properly executed and stored
• Coordinate with Real Estate, Retail, and Finance teams regarding lease requirements for new locations, relocations, expansions, and closures
Commercial Agreement Support
• Prepare, format, proofread, and route commercial agreements and contract-related documents
• Manage approval workflows and signature processes using contract management systems
• Maintain an up-to-date contract repository with accurate version control
• Conduct preliminary reviews of incoming agreements for completeness and alignment with internal guidelines
Management of Legal Operations
• Manage the Senior Manager’s calendar for lease, contract, and compliance matters, including scheduling meetings and coordinating logistics
• Prepare and distribute meeting agendas; capture discussion points, decisions, and action items; circulate summaries and follow-up lists
• Assist with compliance activities, including tracking policy acknowledgments, training logs, regulatory filings, and audit support
• Maintain and refine internal processes, templates, and procedures to improve efficiency
• Generate periodic reports, dashboards, and metrics related to leases, contracts, and compliance
• Serve as a key coordination point ensuring matters progress and deadlines are met
Cross-Functional Coordination
• Liaise with internal teams regarding contract status, lease documentation, and compliance requirements
• Coordinate communication, timelines, and meetings between Legal Services and departments including Retail, Real Estate, Construction, Operations, and Finance
• Communicate with external parties such as landlords, vendors, consultants, and legal counsel to facilitate timely document exchanges
Qualifications
Education & Experience
• Bachelor’s degree preferred; equivalent experience considered
• 2–4 years of experience in legal administration, lease administration, or contract management, or similar roles
• Experience with commercial or retail lease contracts is required
• Experience with 1099 contractor support is a plus
